How we select our
tour operators

Life on a Bike partners with independent cycling tour operators across Europe. Here is how we evaluate, onboard, and work with them to ensure a quality experience for every traveller.

Quality criteria

Accommodation standards

We review the hotel portfolio for each tour, checking location, ratings, and guest feedback. Operators must offer at least 3-star equivalent accommodation or clearly communicate alternatives.

Bike fleet and equipment

Operators maintain their own fleet of touring, e-bikes, or road bikes. We assess bike quality, maintenance schedules, and the availability of accessories like panniers and GPS devices.

Route planning and documentation

Every tour must include detailed route notes, GPX tracks, and practical information. We evaluate the clarity and completeness of travel documents before listing a tour.

Luggage transfer reliability

For tours with luggage transport, we assess the operator's logistics setup — transfer schedules, backup plans, and track record of on-time delivery.

On-trip support

Operators must provide a local emergency contact reachable during the trip. We evaluate response times and the ability to handle common issues like mechanical problems or hotel changes.

Communication and responsiveness

We monitor how quickly and thoroughly operators respond to quote requests and customer questions. Our benchmark is a first response within 24 hours on business days.

Onboarding process

Initial conversation

We start with a call or meeting to understand the operator's business: their tour portfolio, target markets, years of experience, and operational setup. We explain how Life on a Bike works and what we expect from our partners.

Tour catalogue review

We review the operator's existing tours in detail — itineraries, accommodation partners, pricing structure, and cancellation policies. Tours that meet our criteria are prepared for the platform.

Technical integration

We set up the operator on our platform, configure pricing and availability, and create tour listings with accurate descriptions and imagery. The operator reviews and approves everything before going live.

Test period

New operators start with a focused selection of tours. We monitor customer feedback, response times, and booking fulfilment during the initial period before expanding the catalogue.

Minimum standards

Every operator on Life on a Bike must meet these baseline requirements. These are not aspirational — they are conditions for being listed on the platform.

  • Registered business with valid insurance coverage for cycling tourism activities
  • Minimum 2 years of experience operating cycling tours in their region
  • Documented emergency procedures and local support contacts
  • Clear cancellation and refund policies communicated before booking
  • Ability to provide complete travel documentation (GPX, maps, vouchers) before departure
  • Response to customer enquiries within 24 hours on business days
  • Willingness to handle complaints directly and work towards fair resolutions
